East Keswick Village Hall - Conditions of Hire

East Keswick Village Hall is let to the hirer on the following conditions.

1.

1 A 50% deposit is required to secure a provisional booking. ( Not applicable to Multiple bookings )

1.2 A provisional booking can be cancelled without penalty, up to 14 days prior to the booked date. ( Not applicable to Multiple bookings ).

1.3 The full Booking Fee is to be paid 14 days in advance of the booked date. ( Not applicable to Multiple bookings ).

1.4 For Multiple Bookings the Fee must be paid within 14 days of receipt of the account.

1.5 The Fee entitles the Hirer to use the facilities requested on the Booking Form, for the times stated on the Booking Form.

1.6 The Hirer cannot use the premises or facilities for any other purpose than that stated on the Booking Form.

1.7 The Hirer is responsible for obtaining any necessary licences for entertainment, gaming or the sale of liquor.

1.8 The Breakages / Damages and Cleaning deposit, where required, is to be paid 14 days in advance of the booked date, to the booking secretary

1.9 The Breakages / Damages and Cleaning deposit, will be returned within 14 days from the booking date, minus any deductions made for breakages, damages or excess cleaning.

1.10 The Village Hall Committee reserves the right to cancel any booking should the Hall become unfit for the purpose for which it was hired, without any liability for consequential loss.

1.11 The Village Hall Committee reserves the right to cancel any booking subject to 3 months notice. ( Not applicable to single bookings ).

2.

2.1 The hirer will be responsible for any damage to the Hall , damage or shortages to contents, damage to 3rd party property and any legal liability for those
persons using the Hall.

2.2 In the event of any such damage or shortage, the Committee will be entitled to have the same repaired or replaced and recover the cost from the hirer.
The hirer being the person who signed the Booking Form, or in the case of an organisation, the organisation they represent.

2.3 The Hirer or his representative must be in attendance during the booked period, and will be responsible for ensuring all Conditions of hire are met.

2.4 A representative of the Village Hall Committee is entitled to be present at any function, without charge, to ensure that the Conditions of Hire are met.

2.5 The Hirer is responsible for familiarise themselves with the Fire Regulations outlined in the plan supplied with this Booking form.

3.

3.1 The Hirer is responsible for setting out tables and chairs etc., and stacking them and returning them to their proper location.
3.2 The Hirer is responsible for washing and clearing away any crockery, glasses and cutlery. This includes emptying the Dishwasher.
3.3 The Hirer must leave the facilities in a clean and tidy condition.
( Failure to comply with 3.1 / 3.2 / 3.3 will result in an extra charge being made to cover labour and cleaning costs incurred).


4.

4.1 The hirer is responsible at all times for ensuring that noise is kept to a reasonable level within the building, car park and the area around the Hall.
4.2 The Hirer must only use the amplification system installed in the Main Hall, the maximum volume of which has been preset in accordance with planning
permission requirements.
4.3 Alternative equipment eg. Disco’s or Live Music can only be used in the Main Hall and with the prior approval of the Village Hall Committee.
4.4 Only the approved power sockets linked to the Noise Limiting Device can be used.
4.5 All Loud Speakers must be positioned off the floor.
4.6 The Hall doors and windows must be kept closed whilst music is being played, as they are linked to the Noise Limiting Device.
4.7 For evening bookings, music must cease 30 minutes before the end of the booking period. Not including any agreed clearing up time.


5.

5.1 The Hall must be vacated and the doors locked by the finishing time stated on the Booking Form.
5.2 On leaving the Hall, lights, heating and amplification systems must be turned off. All doors must be closed, and all exit doors locked.
5.3 Those attending any function must leave the Hall and car park with the minimum of noise, so as not to inconvenience local residents.
5.4 The hirer must return the keys to the Booking Secretary or a Committee member within 24hrs of the close of the booking.


6.

6.1 The area around the Hall, including the grassed area at the rear, must not be used for ball games.


7.

7.1 The Village Hall Committee accepts no responsibility for any stored equipment or property brought on or left at the premises, unless previously agreed in writing.
